Reuse Smart Groups

2. Oktober 2018

Just like a smart folder in the Finder, smart groups in DEVONthink are a handy way to isolate items based on common criteria. But sometimes you may need a similar, but not exact set of criteria to use — a temporary and reusable smart group. For example, if you wanted to search for groups by name, you could create a smart group via Data > New > Smart Group, with criteria of… … (mehr)

Read It Later in DEVONthink

19. Juni 2018

Sometimes you have a need to store a bookmark but have no time to read it now. One option is to use an online service like Pocket. Another option is to add the bookmarks to Safari’s Reading List. But maybe you want to keep these items in your DEVONthink database. Here’s one way to do it: … (mehr)

Highlight with Purpose

10. April 2018

Highlighting is a great way to isolate information in a body of text. However, sometimes you want to segregate that data even further by using different highlight colors. In DEVONthink’s Format > Highlight Color menu you”ll find seven available colors to choose. But maybe a few of those colors don’t suit your taste, or you have a specific color scheme you use elsewhere. (mehr)

What Did I Clip?

17. April 2018

If you use our browser extension, Clip To DEVONthink, you’ll see a notification after a successful clip. If you check the Notification Center, the icon of three lines on the right side of the menubar at the top of your screen, you can see a record of those clips. Up to a week’s worth should be available to browse. In High Sierra, clicking on the message should open the record in DEVONthink. (mehr)

Backups (Part 3: Online)

4. September 2018

When we discuss backups, we generally advocate primary backups on local drives. However, we sometimes hear, “But, I want to use an online backup!” While, this is indeed possible, here are a few things to bear in mind: … (mehr)

Highlighting the Web

27. März 2018

Highlighting is a tried-and-true method of isolating details in a body of text. At a glance, more important information is easily distinguished from the less important content. Many people know you can highlight passages in PDF files. But many people also clip a lot of web content — web archives, formatted notes, and HTML pages — and still have the need for highlighting. DEVONthink has that option covered too. (mehr)

Sheets of External Data

27. Februar 2018

One of the coolest features in Microsoft Excel is the ability to link a spreadsheet to a delimited text file (like comma- or tab-delimited) in the Finder. This allows you to populate and update the spreadsheet with the data from the text file without having to type in the data yourself. When the text file changes, Excel reflects this change in the spreadsheet too. (mehr)

Find a File Service or Make OneDrive Work with Sync

20. Februar 2018

Our synchronization technology for DEVONthink and DEVONthink To Go supports direct connections via the local network, Dropbox, and WebDAV.

WebDAV is a standard protocol for connecting to file services over the internet. You can mount WebDAV servers in the Finder just like a remote hard drive, upload and download files, or move things around. It’s a solid standard and DEVONthink can use it for managing its sync stores, folders containing all the files needed for synchronizing one or more databases between multiple devices. (mehr)

Use Workspaces

6. Februar 2018

If you find yourself often opening the same windows, tabs, and documents often, it can be a bit cumbersome. Similar to a concept found in applications like Adobe Illustrator, there is an option in DEVONthink’s Go menu: Workspaces. From the Documentation > Menus section of the Help: … (mehr)

Keep Dropbox from Downloading Sync Data

30. Januar 2018

Part of setting up a DEVONthink sync to Dropbox is making sure you don’t re-download the sync data unnecessarily. If you don’t exclude the DEVONthink Packet Sync folder in the Dropbox application on your Mac, it will download what our sync has just uploaded. This wastes bandwidth and space on your machine. It may also spam your machine with messages about files being changed. (mehr)
